After a year and a half of hard work—and input from six Skyward districts—we're excited to share the new Applicant Tracking module with you! Applicant Tracking is designed to make the hiring process easy and is fully integrated with the existing Position Management system.

Note: If you’re using SMS 2.0, we’ve got you covered with FastTrack. We dedicated an entire article to this module (plus hiring tips!). Check it out here.

Applicant Tracking Overview

Let’s take a look at how Applicant Tracking streamlines the hiring process:

1. Post a job: Customize a job posting and share that posting on your website or job board. You can designate a posting for internal and/or external candidates.

2. Accept applications: Once a job is posted, you can manage applicant profiles, review qualifications, and select your new hire from the same dashboard. Applicant information is retained in a profile and used to speed up the process of any future applications a candidate fills out. The hiring process is customizable to ensure applications are routed to the correct personnel during the hiring process.

3. Hire: When you select an applicant you’d like to hire, you can easily move the new hire’s information to their profile in Employee Access—you don’t even have to leave the system!

Note: We also created a new Applicant Access portal. Applicant Access contains both internal and external job postings, the applicant profile, and submitted and unsubmitted applications.

A Tip for Districts Setting Up Applicant Tracking

If your district is planning to start using Applicant Tracking, be sure to prepare for your training/setup by drawing out your hiring process ahead of time. For different kinds of job postings (internal vs. external, certified vs. non-certified), ask yourself: What path will an applicant take from submission to hire? What tasks need to be completed? Can these tasks be done at a similar time? Answering these questions ahead of time will make the setup process faster and easier.

While you’re thinking through your process, take some time to also consider what message you’re sharing with applicants. Check out this article for tips on making sure your pre-hire process shines!

If you're ready to simplify your hiring process with Applicant Tracking, get in touch today! We’ll guide you through the implementation and set up your training sessions with our Customer Success team. Once the module is configured and ready for use, you’ll be ready to start posting links to open jobs on your website or job board—and saving lots of time and energy in the process!
